Add a working people picker to a SharePoint form

A person field is only useful if people pick the right person. Typed names go wrong, duplicate, and break any report that groups by them. Here are the fields that let someone choose a real account, list item, or approved term on a SharePoint form, and how to add them.

Forms365 Workspace runs inside your Microsoft 365 tenant and renders on top of your real SharePoint list, so it can offer proper pickers that resolve against your own directory and lists. Three fields cover almost every "choose the right thing" job.

People picker

For a Person or Group column. As someone types, it searches your organisation's directory and returns matching accounts, so the value stored is a real user, not a string. You can allow a single person or several, and use the result later for assignment, filtering, or a notification. This is the field to reach for on "assigned to", "manager", "requested by", and "approver".

Lookup with quick-add

For a Lookup column that points at another list. The picker searches the related list and lets the person select an existing item. When the item they need is not there yet, quick-add lets them create it inline without leaving the form, so a missing customer or project is not a dead end mid-submission.

Managed metadata picker

For a Managed Metadata column backed by the term store. The picker offers your approved terms rather than free text, so categories, departments, and tags stay consistent across every submission. That consistency is what makes filtering and reporting hold together over time.

Adding one to your form

    Open the list in the designer

    Connect Forms365 Workspace to the list. The Person, Lookup, and Managed Metadata columns already on the list appear on the canvas with the right picker.

    Drop the field on the form

    Drag the column into place. For a Person field, choose whether one person or several can be selected.

    Set the rules you need

    Make it required, or show it only when another answer calls for it, using the visual rules builder.

    Preview and publish

    Try the picker in preview to confirm it resolves people and terms as expected, then publish the form to the list.

One thing to keep in mind: a people picker resolves against your organisation's directory, so it fits internal forms where the person filling it in is signed in.
