Microsoft Forms vs a SharePoint list form

They sound interchangeable and they are not. One is a survey tool. The other captures structured records into a list your team works from. Picking the wrong one is how teams end up with data trapped in the wrong place and a fragile flow holding it together.

What Microsoft Forms is good at

Microsoft Forms is a survey tool, and a genuinely nice one. Spin up a questionnaire, share a link, and anyone can answer without signing in. For a staff pulse survey, an event RSVP, or a quick quiz, it is the right tool and it is already in your licence.

The limits show up when the answers are supposed to become business data. Responses sit in Microsoft Forms storage, not in a SharePoint list. There is no branching on a form created from a list, and the responses are not list items you can build views and permissions around.

What a SharePoint list form is good at

A SharePoint list form is the New and Edit form on a list. Its whole job is to capture a structured record: the right columns, the right types, and the data landing in a list your team already uses. That is what you want for an intake register, an asset log, an incident report, or anything you will filter, group, and report on later.

The default list form is plain, though. Conditional logic is limited to per-field show and hide formulas, layout control is minimal, and it assumes the person filling it in has access to the site. So teams reach for something to make that form better, and that is where the choices multiply.

The trap in the middle: Forms plus a flow

The common workaround is to keep Microsoft Forms for the nice front end and bolt on a Power Automate flow that copies each response into a SharePoint list. It works until it does not. The flow tends to write most fields as plain text, so a date or a choice loses its type. Add or remove a question and the mapping can break. Now you are maintaining a survey, a flow, and a list to do the job of one form, and the failure is silent when it comes.

Where Forms 365 fits

Forms 365 lets you skip the trade-off. Forms 365 Workspace replaces the default SharePoint list form with a no-code, drag-and-drop designer that writes straight to your list columns, with conditional logic and support for the common SharePoint column types. It deploys inside your own Microsoft 365 tenant and needs no Power Apps licence.

When the person filling in the form is outside your organisation, Forms 365 Web publishes a public form that anyone can submit with no Microsoft account, and still writes the result into your SharePoint list. Same data destination, no flow in the middle, and no survey silo to reconcile later.

A simple way to choose

Ask one question: does this data need to live as a record in a SharePoint list? If the answer is no, Microsoft Forms is fine and you are done. If the answer is yes, you want a list form, and the follow-up is who fills it in. Internal staff point you to Forms 365 Workspace. External people point you to Forms 365 Web. Either way the data lands in your list, typed correctly, without a flow to babysit.

Does Microsoft Forms save responses to a SharePoint list?

Not on its own. Microsoft Forms stores responses in its own storage. To move them into a SharePoint list you build a Power Automate flow that creates a list item on each submission, and that flow often maps fields as plain text and can break when questions are added or removed.

Can external people submit a SharePoint list form?

A form created directly from a SharePoint list follows the site permissions, so it is not meant for anonymous external submitters. To collect from people with no Microsoft account and still write to your list, use a public form built for that, such as Forms 365 Web.

When should I use Microsoft Forms instead of a SharePoint list form?

Use Microsoft Forms for a quick survey, quiz, or poll where the responses do not need to live as structured records in a SharePoint list. Use a SharePoint list form when the data belongs in a list your team works from, with proper columns, views, and permissions.
